Creating and Editing a Contact List

Contact lists enable you to send Zip Digital messages to groups of contacts. Once you create a list, there are a couple ways to add contacts to your list, both of which we will discuss in this document.

When creating lists with contacts that have mobile telephone numbers, those contacts will receive an Opt In text message from ZIP Digital asking if they would like to receive ZIP Digital Text Message blasts. Only contacts that Opt In will receive ZIP Digital Text Messages. Contacts will receive ZIP Digital Voice Message and/or Email Message blasts if they have a valid telephone number and/or email address on file, unless they Opt Out to those messages if/when received.

If you are using contact management system or even a property management system such as Real Page or Yardi, importing contacts into ZIP Digital is easier than ever. Check out ZIP Digital’s Email Sync feature in this document for more details.

Creating a New Contact List

  1. From the ZIP Digital menu bar, click Lists
  1. Next, click the New List 
  1. Name your list. If this list will utilize ZIP Digital’s Email Sync feature, check the This is a synced list checkbox, and click the Submit More information about Email Sync is available later in this article. 
  1. Click the list name to add contacts
  1. There are three (3) options for inputting contacts into ZIP Digital – add via manual upload, uploading via a CSV template, or importing via Email Sync.

Add Contacts Via Manual Upload

  1. From the Lists dashboard, find the list to which you would like to add contacts. 
  1. To view your list, simply click the List Name you would like to view. 
  1. Click Add Contact.
  2. Fill out First Name, Last Name, and add at least one (1) point of contact such as Email Address, Mobile Telephone Number, or Home Telephone Number. Click Add Contact when finished. 
  1. You have successfully added a new contact to your list. 

Upload Contacts Manually Via CSV Template or XLS File

  1. From the Lists dashboard, find the list to which you would like to add contacts.
  1. Click the list name to which you would like to add contacts. 
  1. Click Import Contacts. 
  1. Click Upload Contacts.          
  1. Click Download CSV Template
  1. Open the downloaded CSV document. 
  1. Fill out the columns in the templates. Required fields include First Name, Last Name, and at least one (1) point of contact such as Email Address, Mobile Telephone Number, or Home Telephone Number. Often times you can copy and paste your contacts from an existing spreadsheet. 
    • Columns can be imported in any order.
    • First Name and Last Name can be imported in the same column.
    • Column aliases are recognized for the following: email/e-mail/email address/e-mail address; mobile phone / mobile; home phone / home; first name/first; last name/last.
    • Only a CSV or XLS file can be accepted into Zip Digital. Other file formats (XLSX, PDF, XLT, XML) are not supported. If a different file type is uploaded, the Last Import Status will be displayed as, Failed
  1. Save the changes made to the file. 
  1. From the ZIP Digital website, click Choose File
  1. Find file that you saved and click Open
  1. From the ZIP Digital website, click Import Contacts
  1. You will receive a message that says, “Your list is currently being uploaded. Check back here soon!” 
  1. When you click Lists from the menu bar, you should see your list with contacts if they were uploaded successfully. 
  1. To view the details of your imported list, click on the Last Import Status for the list to review the Status, Start Time, Source, Errors, End Time and File Name of the imported list. Here you can see which contact(s) failed to upload and why. If you uploaded a file, you may click on the file name to download that file again to find your errors, if necessary.

Import Contacts Via Email Sync

If you are using a contact management system (CMS) or a property management system (PMS) such as Real Page or Yardi, importing contacts into ZIP Digital just got easier. Simply create a contact list or report in your CMS/PMS including the fields required in the ZIP Digital CSV Template and set your CMS/PMS to email a CSV formatted file of the list or report to your ZIP Digital Email address at an interval of your choosing. Once a list is set up to Email Sync, it will always be considered a synced list. On a synced list, you are unable to manually Add, Edit, or Delete contacts or other information from that list. To make changes to an email-synced list, a new version of the list will need to be submitted to ZIP Digital via Email Sync. The following are detailed steps for using ZIP Digital’s Email Sync list import feature.

  1. From the List dashboard, find the list to which you would like to add contacts. 
  1. Click the list name in which you would like to add contacts. 
  1. Select Import Contacts.
  2. Click the Email Contacts. 
  1. Click CSV Template and download the template. 
  1. Open the downloaded CSV document. 
  1. Fill out the columns in the templates. Required fields include First Name, Last Name, and at least one (1) point of contact such as Email Address, Mobile Telephone Number, or Home Telephone Number. Often times you can copy and paste your contacts from an existing spreadsheet. 
  1. Save the changes made to the file. 
  1. Send an email to the ZIP Digital Email Address that corresponds to your list. 
    • Your Zip Digital email address is located on the Zip Digital webpage that you just downloaded the CSV file.
    • Each list has its own unique ZIP Digital Email Address.
    • There does not have to be a specific subject, body, or title to the email or CSV file as long as the file remains a CSV.
    • Note: Any existing contacts in the ZIP Digital list will be replaced by those contacts submitted via Email Sync.

Edit or Delete Contacts        

Note: Contacts within lists that use ZIP Digital’s Email Sync feature cannot be edited or deleted. To make changes to lists that use Email Sync, a new version of the list will need to be

  1. To view your list, simply click the List Name you would like to view. 
  1. Next you can view, edit, add or delete contacts in your List. 
  1. To view a contact, click the contact name. Here you will be able to see their granular information; any blast(s) that included that contact will be visible and clickable along with the date and time of the message and status of the blast. 
  1. To edit a contact, click Edit next to the appropriate contact, make changes, and click Update
  1. Your contact would then be updated to the new information. 
  1. If you want to delete the contact, click Delete
  1. The service will prompt you to confirm that you want to delete them from existing Lists. You may choose from: Delete from the list, Delete from all lists, or Cancel.  

Searching for a Contact

From the main List page, you can search for a specific contact via the Search bar. Additional attributes (such as unit or birthday) as well as contact attributes (e-mail, name) are searchable.

Edit or Delete a Contact List 

  1. To view your list, simply click the List Name in which you would like to view.
  1. To edit an existing List, click Edit located next to the appropriate List Name. 
  1. Edit the name if needed, and click Update
  1. To delete a list, click Delete List located next to the corresponding list that you would like to delete.
